AI integration and automation

Put AI to work in your everyday processes

AI can already read documents, answer emails, prepare quotes, write reports and find answers in your company data. I help manufacturing and other businesses use it where it actually saves time, connected to the tools you already have.

Your team repeats the same tasks every day

Copying data from emails into systems, retyping drawings into quotes, answering the same questions, building the same reports. You may not realise how much faster your company can run once these routines are automated or tuned.

What you get

  • Hours of manual work saved every week
  • Faster replies and quotes for customers
  • Fewer typing mistakes and lost information
  • Knowledge that stays in the company, not in one person’s head
  • People free for the work that needs a person
Documents and data

Stop retyping what is already written somewhere

A large part of office work is reading documents and copying the same data into another system. AI reads them for you and fills in the fields.

✉

Quote requests (RFQ)

AI reads incoming requests with their PDFs, drawings and STEP files and pulls out part number, material, quantity, tolerances, finish and deadline.

Example: a customer email with three drawings becomes a ready quote draft in the system instead of 30 minutes of manual entry.

◫

Drawings and title blocks

Text and key data are extracted from drawings: title block, material, revision, general tolerances, notes and critical dimensions.

Example: a list of 200 old drawings is turned into a searchable table of parts and materials.

🧾

Invoices, delivery notes, certificates

Supplier invoices, delivery notes and material certificates are read and entered into accounting or ERP, with anything unusual flagged for a person.

Example: material certificates are checked automatically against the ordered grade and heat number.

🌐

Translation

Offers, manuals, work instructions and product pages translated into Estonian, English, Russian, Finnish, German and more, keeping technical terms correct.

Example: a product catalogue published in 9 languages without hiring a translation agency for every update.

🔎

Search across your files

Find any drawing, offer, order or email by asking in plain words instead of remembering folder names.

Example: «show me all offers for stainless flanges we sent to Finland last year».

▤

Clean data from messy spreadsheets

Old Excel files, exports and lists are cleaned, merged and checked for duplicates and errors.

Example: three customer lists from different years merged into one clean CRM import.

Communication

Answer customers faster without adding staff

AI handles the repetitive part of communication and leaves decisions to people.

📥

Inbox sorting and draft replies

Incoming emails are sorted by type (quote request, order, complaint, invoice), routed to the right person and get a suggested reply ready to send.

Example: order confirmations and simple questions are answered in minutes, even at night.

💬

Website chat assistant

An assistant on your site that knows your services, materials and machines, answers questions, collects files and contact details and books a call.

Example: a visitor uploads a drawing at 22:00 and gets a confirmation and a follow-up in the morning.

📦

Order status answers

Connected to your order system, the assistant answers «where is my order?» by itself, through email or chat.

Example: the production manager is no longer interrupted by status calls.

📚

Internal knowledge assistant

Staff ask questions in plain language and get answers from your procedures, machine manuals, past jobs and quality documents, with links to the source.

Example: a new operator asks how to set up a specific fixture and gets your own instruction, not a guess.

📝

Meeting and call notes

Calls and meetings turned into short notes with decisions and tasks assigned to people.

Example: after a customer call the task list and the offer draft are already in the system.

📣

Marketing and sales texts

Product descriptions, articles, newsletters and LinkedIn posts written in your style and checked by you.

Example: every new product gets a full description and SEO texts in several languages the same day.

Production and planning

Less time planning and searching, more time producing

AI is not a replacement for the people on the floor. It removes the paperwork and the guessing around them.

🗓

Scheduling suggestions

AI proposes a job order for machines based on due dates, setups, materials and machine availability. The planner approves or changes it.

Example: jobs with the same material and fixture are grouped to save setups.

📋

Setup sheets and work instructions

Setup sheets, operation lists and work instructions generated from the drawing, the program and your templates.

Example: every job gets a consistent setup sheet with tools, zero points and inspection steps.

⏱

Time and cost estimates

Machining time and price estimated from similar jobs you have already made, so quotes are faster and more consistent.

Example: a new part is compared with the five most similar past jobs and their real times.

🛠

Maintenance logs

Machine logs, alarms and maintenance notes analysed to spot recurring problems before they stop a machine.

Example: a spindle alarm that keeps coming back on one machine is flagged with its history.

📊

Shift and production reports

Daily and weekly reports written automatically from tracking data: output, downtime, scrap and late jobs.

Example: the morning report is in your inbox before the first meeting.

🏷

Material and stock

Stock levels, offcuts and purchase needs tracked, with reorder suggestions and supplier price comparisons.

Example: a warning that 6082 bar stock will run out next week based on scheduled jobs.

Quality

Catch problems earlier and document them faster

Quality work produces a lot of data and paperwork. AI helps with both.

📷

Visual inspection

Camera-based checks for surface defects, missing features, wrong parts or counting parts, set up for your specific parts.

Example: every part is photographed after deburring and anything unusual is set aside for a person to check.

📐

Measurement data analysis

Measurement reports analysed for trends, so a dimension drifting toward the tolerance limit is noticed before parts go out of spec.

Example: a warning that the bore diameter is drifting after tool wear, with a chart.

⚠

Non-conformance reports

NCRs, 8D reports and complaint replies drafted from the facts you enter, with root-cause suggestions from past cases.

Example: a customer complaint answered with a complete 8D draft the same day.

Management and reporting

Ask your data questions in plain language

The numbers are already in your systems. AI makes them easy to reach.

💡

Questions instead of reports

Ask «what was the margin on aluminium jobs last quarter?» and get the answer with a table and a chart.

Example: the owner gets answers without waiting for someone to build an Excel report.

📈

Dashboards

Key figures (orders, output, delays, cash flow) collected from your systems into one live overview.

Example: one screen in the office shows today’s jobs, late orders and machine status.

🔍

Research and comparison

Suppliers, materials, machines and prices compared and summarised before you decide.

Example: a summary of five tool suppliers with prices, delivery times and terms.

Automation and integrations

Connect what you already use

The biggest gains often come from connecting existing systems and letting them pass data to each other automatically, with AI where judgement is needed.

⇄

System integrations

Email, website, ERP, accounting, CRM, spreadsheets and production tracking connected, so data is entered once.

Example: a website order goes straight into production tracking and accounting.

🤖

AI agents with approval

Assistants that carry out multi-step tasks (collect data, prepare a document, send it) and ask a person to approve important steps.

Example: the agent prepares the offer, a person checks it and clicks send.

🧩

Custom tools

Calculators, trackers and small applications built around your exact process, like the CNC calculator and CNCTrack in my portfolio.

Example: a pricing tool with your own machine rates and materials.

Example

From customer email to quote, almost by itself

A typical flow for a machine shop. Every step can be adjusted to how you work today.

Email arrivesA customer sends a request with drawings and a STEP file.
AI reads itMaterial, quantity, tolerances, finish and deadline are extracted from the email and drawings.
Price is calculatedYour calculator and past similar jobs give the cost and the price.
Quote is draftedA quote in the customer’s language is prepared with your template.
You approveYou check it, change anything you want and send. The customer gets an answer the same day.
How we start

Small first step, measurable result

No big project up front. We start with one process, prove the benefit and only then go further.

1

Free consultation

We talk about how work moves through your company and where time is lost. You get an honest view of what is worth automating and what is not.

2

Pilot on one task

One process (for example quote requests or invoices) is automated at a fixed price, using your real documents.

3

Measure and expand

We compare time and errors before and after. If it pays off, we roll it out and move to the next process, with support included.

Safe and under your control

Your data stays yours

AI is set up so that you stay in control of your data and of every important decision.

  • Business AI services that do not use your data to train their models, or models running on your own server when needed
  • GDPR-friendly setups and NDA before you share files
  • A person approves offers, orders and anything sent to customers
  • Works with your existing software, no need to replace it
  • Documented solutions you own, no lock-in
Questions

Good to know

Do I need to replace my current software?

No. In most cases AI is connected to what you already use: email, spreadsheets, accounting, ERP or a production tracker.

Is AI accurate enough for technical documents?

It is very good at reading and structuring documents, but it can make mistakes. That is why important results are checked by a person, and the system shows where each value came from.

We are a small company. Is this for us?

Yes. Small teams often gain the most, because every hour saved matters. A pilot on one task is a small, fixed-price project.

What does it cost?

The consultation is free. After it you get a fixed price for the pilot. Running costs for AI services are usually small compared to the hours saved, and I estimate them up front.

What if AI is not the right answer?

Then I will tell you. Sometimes a simple automation, a better spreadsheet or a small change in the process is enough.
